Responsibilities
- Provide comprehensive administrative support, managing calendars, schedule appointments, coordinate meetings and travel/accomodation arrangements for the executive team.
- Coordinate and prioritize incoming communication and requests, ensuring timely and accurate responses.
- Prepare and edit correspondence, reports, presentations, and other documents as required.
- Assist in organizing and coordinating company events and conferences.
- Maintain confidentiality and handle sensitive information with the utmost discretion.
- Conduct research, gather data, and prepare materials for meetings and presentations.
- Answer, screen and forward incoming phone calls.
- Control and organize office supplies stock and ensure front desk/conference area is tidy and presentable.
Requirements / Qualifications
- Proven experience as a Front Office Administrator, Reception Administrator or similar role, preferably in the shipping or maritime industry.
- Excellent organizational and time management skills, with the ability to prioritize effectively.
- Strong written and verbal communication skills, demonstrating professionalism and attention to detail.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to work under pressure and adapt to changing priorities in a fast-paced environment.
- Exceptional interpersonal skills and the ability to build effective relationships at all levels.
- Discretion, integrity, and the ability to handle confidential information.
- Fluent in English (written and spoken).
