Overall Purpose of The Job

Assist to ensure the fleet is supplied with authorised F&B stores in due time and at an achievable cost, consistent with the quality and purchasing policies.

Ensure purchasing activities are carried out methodically and efficiently extending from our relationship with suppliers to meeting our clients needs, ensuring quality service and enhancing the procurement process.

Key Responsibilities And Tasks

  • Assist in coordination, management, and delivery of purchasing needs of clients and hotel management in respect to F&B.
  • Obtain, present, and verify quotations received from approved suppliers, in adherence to company policy.
  • Maintain a knowledge of approved suppliers and scope of supply, working with team to identify and promote available solutions.
  • Clarify any additional information as required by supplier, vessel, or line managers in a timely and reliable manner.
  • Liaise with line managers and onboard senior management on purchasing matters.
  • Monitor the progress of orders until delivery on board, ensuring the quality and quantity of items are verified through a loading report, and if result of any discrepancies in stores and provisions, suppliers will be contacted for explanations.
  • Coordinate supply of F&B stores upon authorisation from relevant departments.
  • Proactively manage the pick-up, storage and last mile delivery of ship spares to the vessel, maximising consolidation opportunities where appropriate.
  • Follow established purchasing policies and assist in the development of procedures and best practices as per internal and client specific requirements.
  • Communicate shipment details to vessel and appointed agents.
  • Manage the progress and delivery of all orders until finalised as received on board.
  • Ensure that due regard is given to maintaining approved standards, methods, quality, and health in respect to transaction or purchases made by the Company.
  • Maintain contact with other purchasing managers to achieve maximum co-ordination and consolidation when dispatching items to vessels.
  • Resolve any supply discrepancies as advised by vessel with suppliers.
  • Receive, check, and manage invoices within scope of the procedure and pass to the Accounts Department for payment.
  • Maintain a good rapport with suppliers.
  • Ensure that SMART objectives set for you are prioritised and met.
  • Provide suggestions / feedback for improvement of the execution of tasks and working instructions.
  • Performs any other Cruise & Offshore related tasks as requested by the Line Management.

Essential

  • Previous purchasing experience in the maritime industry preferred
  • Culinary and/or F&B background
  • Excellent interpersonal skills with the ability to engage and interact with people
  • Excellent negotiation skills to ensure the supply is procured at best price and aligned with forecasted budget
  • Strong ability to perform self-confident within a team environment while handling multiple projects
  • Enjoys a variety of tasks and must have the ability to identify by priority in a fast-paced environment
  • Highly organized and able to use organizational tools to track multiple tasks and work in tight schedules
  • Strong computer skills, particularly in Microsoft Office applications.
  • Excellent command of the English language both written and oral as this role interacts with a wide and large number of stakeholders at all levels, accurate and clear communication is essential to ensure information is interpreted correctly and appropriate actions understood.

Desirable

  • Experience of working in large multinational company in the leisure and luxury hospitality industry.
  • CPPO, Certified Purchasing Manager, or other advanced certification in procurement preferred.
  • Previous experience in start-up and new build projects.
  • Additional languages.
