Key Requirements

• Thorough knowledge of STCW 95 & MLC 2006

Qualifications

• Academic / College diploma or equivalent work experience.
• Relevant Training.

Main Responsibilities

Operational Monitoring and Updating

• Updating the Operations database (Excel) constantly based on client vessel schedules, TL daily reports, and Port agent updates and ensuring each operation is recorded.
• Update the Line for changes to vessel berthing prospects of upcoming embarkation, replacement or disembarkation operations.
• Provide the Rapid or PCR Covid tests of the security guards to the Master of the vessel prior to embarkation.
• Updating of the Monday’s boards with all upcoming and completed Operations of the Line.

Daily email correspondence

• Co-ordinate via email the Operations of the Line by informing the vessel Master, Port agent and security guards for any upcoming embarkations, disembarkations or replacements of our security teams.
• Follow up with the Port agents on the berthing prospects of the vessel and any movements of security equipment on or off the vessel.
• Request the Company evaluation form from the Master upon the completion of each disembarkation or replacement operation.

Monitoring of emails and WhatsApp groups

• Monitor all emails received during the day and ensure that we respond in a timely manner.
• Monitor all the correspondence in the WhatsApp groups, receive updates from the TLs, read the daily reports and any other embarkation/disembarkation reports and report any discrepancies to the Operations Line Manager.

Daily container/reefer inspections

• Ensure we receive and review the container/reefer inspection forms from the security TLs and record the number of inspections to Monday’s board.

Completion of Operations / Company evaluation forms

• Provide an email update upon the completion of each vessel operation to the Management. ( Mr. Idan Avrahami).
• Provide an email update upon receiving each company evaluation form to the Management. ( Mr. Yannis Panou).

Weekly/monthly reports

• Prepare on a weekly basis every Monday the number of active vessels, active security guards and upcoming embarkations to the Line Managers.
• Prepare on a weekly basis, every Friday, the Operations Check table to the HOD with the Operational status of all upcoming operations for the next 5 days. (Berthing prospects, PCR tests, Flight tickets, Communication with port agents).
• Prepare on a monthly basis the Insurance calculations for the HOD.
• Prepare on a monthly basis the total number of inspections done on board by our security guards for the Operations Supervisor.

ISO filing and MLC

• Ensure that all necessary ISO and MLC records related to the Operations, are properly and securely filed and kept available, as per company, ISO and MLC requirements.

Equipment Monitoring

• Review daily the security equipment on board each vessel, record each embarkation or disembarkation on Monday’s board and update the equipment status with any discrepancies or deficiencies.

Additional duties

• Carry out other department-related tasks when required by the HOD or Department Supervisors.

• Ability to deal and properly communicate, cooperate and coordinate with a variety of personalities and individuals of different nationalities.

• Excellent knowledge of PANGEA and company OPS software.
• Excellent knowledge of OPS Department Protocols.
