Job Summary: As a Technical Administrator, your role is crucial in supporting the administrative operations of our ship management company office. You will assist in coordinating various tasks to ensure the smooth management of vessels and the efficient functioning of the office.

Key Responsibilities:

Documentation Management:

Maintain accurate and organized records of vessel documents, contracts, certifications, and other important paperwork.

Review and distribute technical manuals, operational reports, and regulatory compliance documentation.

Communication Coordination:

Facilitate effective communication within the ship management team and between other parties, including vessel crew, clients, and regulatory authorities.

Manage correspondence, emails, and queries related to ship management activities.

Data Entry and Reporting:

Input and manage data in specialized software systems, databases, and spreadsheets.

Monitor regular reports of vessel performance and maintenance activities.

Financial Administration:

Support financial activities by forwarding invoices to Accounting department and maintaining budget records.

Regulatory Compliance:

Collaborate with the ship management team to ensure vessels adhere to maritime regulations, safety standards, and environmental requirements.

Maintain documentation related to inspections, audits, certifications, and regulatory updates.

Qualifications and Skills:

  • High school diploma or equivalent; additional administrative or maritime-related certifications are advantageous.
  • Proficiency in office software (e.g., Microsoft Office suite) and data management tools.
  • Strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both written and verbal.
  • Problem-solving abilities and a proactive approach to identifying and addressing issues.
  • Basic knowledge of maritime industry practices, vessel operations, and regulatory compliance.
  • Previous experience in administrative roles, preferably within the maritime or ship management sector, is beneficial.
